Early Termination Policy

Annual tiers bypass all upfront setup fees in exchange for a long-term commitment. Should your organization request early termination, your upfront lump sum is partially refundable. The refund is calculated by retroactively billing your active months at our standard, non-discounted Month-to-Month rate, plus a standard one-month early termination penalty. The remainder of your upfront balance is then returned to you.

You choose upfront how to handle it. If you enable PAYG Auto-Recharge, your account automatically tops up at $25 per 1,000 additional actions and unused top-ups roll over. If you prefer zero overages, keep it disabled — the platform gracefully switches to Standard Mode (keyword matching only) until your monthly counter resets. No surprise charges, ever.
Yes. Every tier supports à la carte seat expansion at fixed monthly rates — $15/mo per Agent, $25/mo per Manager, and $40/mo per Admin. You only pay for what you add, with no forced tier upgrade required.
Annual (Billed Monthly) plans are 12-month binding agreements. If you cancel early, the ETF equals the total sum of all monthly discounts applied to your account up to the cancellation date, plus one equivalent standard non-discounted month of service. Upfront annual payments are strictly non-refundable but carry no ETF — your tenant remains active until the term ends.
Upon cancellation or expiration, your account enters a 30-day Isolated Grace Period. During this window, Admin users retain full read-only access and can export all ticket data, knowledge bases, and interaction logs in JSON/CSV format. On Day 31, all data is permanently and irreversibly deleted from our cloud servers.
We don't offer a self-serve free trial — Triage is a fully provisioned, AI-trained environment that requires an 11-day onboarding sprint to set up correctly. Instead, we offer the Day 11 Satisfaction Guarantee: if your branding injection and AI training don't meet your standards at official handover, your setup fee is refundable minus the non-refundable Surgical Resource Fee (equivalent to 50% of the paid setup fee) covering baseline engineering and setup costs.
No, never. Your proprietary knowledge bases, customer communications, and support tickets are never used to train public or foundational AI models. Your data is stored in isolated vector databases dedicated exclusively to your tenant environment. Enterprise and Ultimate tiers additionally support Customer-Managed Encryption Keys (CMEK) — meaning even our engineers cannot access your data without your key.
